Purpose and legal basis of the processing of personal data
The processing of personal data is usually based on an agreement between Aari Forest Ltd and the customer. The information is required for the implementation of the agreement or for other legitimate interests related to Aari Forest Oy's business. The processing of personal data may also be based on consent. We use the information to maintain and develop our customer base, for example, when we want to provide a customer with services, products or cooperation. The collection of data may also be based on legal obligations or a legitimate interest of a third party.
Aari Forest Ltd collects and processes the following information from its customers:
- Contact information such as name, mailing address, phone number and email address
- Other identification information, such as personal identification number, business ID number and bank account number
- Information on the identification, ownership and use of forest holdings, such as property ID, ownership and management information, building encumbrances, zoning information and restrictions on use
- Forest resource data on forest holdings obtained from public data sources and the customer
- Sales, purchase, offer, timber harvesting, transportation, customer feedback, forest tax and forest management information and other previous contract information obtained on the basis of customer relationships or contacts
Use of information
We primarily use the information for transactions required by the transaction, such as deeds of sale and proxies. Other uses include:
- Reporting and statistics
- Billing and making payments
- Customer relationship management and customer communication
- Acquisition of new customers
- Product and service development
- Solvency check, invoicing and collection
- Checking the lists of sanctions and other authorities.
Access to information
The information we receive is mainly obtained from customers and our own information systems, as well as from public information sources, in particular information services maintained by Forest Centre and the National Land Survey of Finland, maps, location information, public real estate and forest resource information and address information from other sources. We also receive information from private information service providers, other service providers, and various analytics tools. When we combine and process data, we comply with the legislation on the processing of personal data.
Aari Forest Ltd restricts the use of personal data and protects it from loss, unintentional destruction, misuse and unauthorized alteration by appropriate technical and organizational measures.
Personal data may only be processed by persons and companies employed by Aari Forest Ltd and providing services to Aari Forest Oy who need the information to perform their duties or provide services in accordance with the agreement.
Personal data will be kept for as long as it is needed for the purpose for which it was originally collected. How long an individual customer’s data is retained is affected by the continuity, intensity, and commitment of the customer. After the end of the customer relationship, the personal data will be retained for as long as necessary for the original purpose. The information may also be retained because Aari Forest Ltd has obligations or rights based on legislation or a contractual relationship.
Disclosure and transfer of information
Aari Forest Ltd discloses information to the authorities when required to do so by law or as required by the authority.
Aari Forest Ltd may transfer or disclose personal data to those service providers who need the information when providing work or other services related to Aari Forest Ltd's business. In their contracts, the service providers have undertaken to process personal data only to the extent necessary for the purpose and to take care of data security and data protection appropriately. Service providers delete data when it is no longer needed.
Do you want to restrict or verify your information?
As a registered customer, you have the right to verify your information at any time. One request per year can be processed at no cost. You can contact us and request that your personal information be verified. We may ask you to verify your identity and specify what information you wish to verify. You have the right to correct or supplement incorrect, inaccurate, outdated or unnecessary information. You can request the deletion or restriction of the processing of your personal data. However, the data may not be completely deleted if the data are still needed for the purpose for which they were originally collected. The data subject has the right to lodge a complaint with the data protection authority if the data subject feels that the processing of his or her personal data violates data protection legislation. In situations where the processing of your personal data is based on consent, you have the right to withdraw your consent at any time.
